A practical introduction
Start with your process. Build a manageable rollout.
Plan an Ariona implementation around your agency’s workflow, data, roles and first student cohort. Discuss migration, configuration and onboarding.
1. Map a real application
Walk through an application from first enquiry to the final decision. Identify who owns each step, which documents are required and what students and parents should see. Bring examples without personal student data to the initial discussion.
2. Agree the scope and configuration
Choose the modules, roles, statuses and application phases your team needs. Discuss email, notification and branding requirements. Confirm the scope, pricing, hosting and support arrangements before committing to a rollout.
3. Prepare the information you want to bring
Review existing student lists, institutions and open applications. Remove duplicates and decide which records are still active. Migration scope and supported import formats need to be confirmed during onboarding; do not assume every historical attachment or chat can be imported automatically.
4. Pilot with a small cohort
Use a limited set of applications to test the full process: assign a task, request a document, review a submission and check what the student and parent can see. Include the people who will use the system each day.
5. Expand with clear ownership
Agree when the team will start using Ariona as its shared workspace and who maintains templates, Seasons and institution information. Review the pilot findings before inviting the remaining users. Timing depends on your data and workflow complexity.
